Your First Private Charter: Booking and Departure Checklist

In How to Charter by ASM Editorial Team

A first private charter is easier to evaluate when the enquiry, quotation and departure brief are clear. Use this checklist to establish what is offered, what is confirmed and which details remain outstanding.

Advantages of Private Jets

Prepare the enquiry

Give departure and destination, travel dates, preferred times with time zones, passenger count and baggage dimensions. Add the final address, mobility needs, infant arrangements and pet requests. State any flexibility and the deadline the flight is intended to support.

Understand the aircraft proposal

Ask which aircraft is proposed, who operates it, its passenger configuration and baggage allowance, and whether a technical stop is planned. Nominal range or a cabin photo does not establish suitability for your mission. Review the aircraft selection guide.

Review price and terms

Check the complete itinerary price, currency, validity, inclusions and exclusions. Establish cancellation, amendment, aircraft-substitution and refund conditions through the booking documents. Clarify transfers, catering and any separate ground bookings before acceptance.

Complete documents and reporting instructions

Confirm passports, visas and entry requirements through official channels. Send requested passenger information through the agreed secure process. Obtain the airport, terminal address, meeting contact and reporting time; private charter does not remove security or border checks.

Keep a current departure brief

  • Accepted itinerary and aircraft details.
  • Passenger and baggage information.
  • Terminal reporting time and transfer meeting point.
  • Any pending operational or passenger confirmation.
  • Contact for amendments and disruption.

Tell the charter team immediately if the group, route or timing changes. The revised plan needs acceptance; an email request is not itself confirmation.

Request the first proposal

Use ASM’s charter enquiry for the itinerary. To decide whether charter suits the trip, see the charter-versus-scheduled comparison.
