Personal concierge services in aviation connect the flight itinerary with the passenger’s plans on the ground. A useful arrangement tells the traveller where to meet, who to contact and which services are confirmed, from an airport transfer to hotel check-in or a meeting across the city.

What Are Personal Concierge Services in Aviation?
Aviation concierge support covers personal travel arrangements around a flight, such as meet-and-greet assistance, chauffeured transport, accommodation and local reservations. The service should be planned around the airport, terminal, passenger requirements and available local providers.
Concierge support is distinct from aircraft ground handling. Passenger transport or a hotel reservation does not confirm aircraft parking, handling, fuel or operational approvals. For a coordinated arrival, the concierge provider and ground handling team need a shared itinerary and clear responsibilities.
ASM’s Personal Concierge Services Include:
ASM’s concierge services can coordinate airport transfers, passenger and crew accommodation, meet-and-greet requests and local arrangements. Each requested service should be checked and confirmed for the destination. Travellers arranging an aircraft as well as their ground itinerary can start with ASM Charter; operators seeking ground services can brief the flight support team directly.
Ground transport. Specify passenger numbers, luggage quantity and size, the preferred vehicle category, accessibility requirements and any child-seat requests. Confirm the pickup point, destination, waiting allowance and additional-stop charges. A vehicle’s passenger capacity alone does not establish whether it can carry all the luggage.
Airport assistance. Identify whether assistance is requested at the terminal entrance, arrivals hall, FBO or another approved meeting point. Airside vehicle access and expedited airport processes depend on local permissions and eligibility; they should never be assumed to be included.
Hotels and local reservations. State room types, arrival and departure dates, check-in requirements, budget and cancellation preferences. Restaurant or event requests need their own confirmation, including any deposit, dress code or timing conditions supplied by the venue.
Common Difficulties Faced Without Concierge Support
Many problems begin with an incomplete handover: the driver has the original arrival time, the passenger expects a different meeting point, or the hotel has a reservation but has not agreed to early check-in.
Prepare one passenger brief. Include the flight details, date, time zone, terminal or FBO when known, party size, luggage requirements and the onward itinerary. Identify the booking contact and an approved day-of-travel contact. Share personal information only as needed to arrange the requested services.
Separate requested and confirmed items. A request for fast-track assistance, a particular vehicle or a room upgrade is not a booking confirmation. Ask for the provider’s response and any alternative offered before presenting the service to the traveller as arranged.
Why Concierge Services Are Important?
Pre-arranged services can reduce avoidable calls and uncertainty after landing. They are especially useful when several passengers have different destinations, when meetings follow the flight, or when an unfamiliar airport has several possible pickup locations.
For crews, accommodation and transport should follow the operator’s planned schedule and accommodation requirements. A passenger-style itinerary may not suit a crew layover. See our HOTAC services for crew accommodation coordination.
Concierge assistance does not replace immigration, customs or security processes. Entry requirements and any required travel documents should be verified through the relevant official channels for the traveller and itinerary.
How ASM Delivers Seamless Concierge Support?
ASM can coordinate the requested services alongside the flight itinerary and communicate changes to local providers. The booking brief should identify who can approve extra costs, which services are essential and what alternatives are acceptable.
Before arrival: request written confirmation of the meeting point, provider contact, booked vehicle or service, price inclusions and cancellation terms. Agree how the passenger will recognise the representative and whom to call if they cannot locate each other.
When the flight changes: send the revised arrival time and location to the coordinating contact. Reconfirm transport, accommodation and timed reservations separately. Ask about waiting charges, no-show terms or rebooking costs before accepting a revised arrangement.
Because Every Journey Begins and Ends on the Ground
A well-planned concierge service gives passengers clear instructions and gives the booking team a reliable record of what has been arranged. The right starting point is a complete brief and a realistic understanding of destination-specific availability.
