An international trip in a privately owned aircraft needs an operational plan and a passenger plan. Ownership does not establish the flight’s regulatory classification or permission to operate every sector.
Identify the operator and operation
Record the responsible operator, aircraft registration, route and purpose of each flight. The operator reviews the applicable private or commercial requirements and restrictions. An owner trip and a commercial charter should not automatically use the same permission assumptions.
Assess aircraft and route
The carrier reviews airworthiness, crew qualifications, equipment, performance, weather, reserves and alternates through its normal process. Nominal range does not confirm suitability for the actual payload and route. State passengers, baggage and assistance needs early.
Prepare documents and approvals
Identify required aircraft, operator and crew documents and applicable overflight, landing or other permissions. Keep approval references, validity, conditions and the latest schedule together. Passenger passports, visas and entry requirements need separate official checks for departure, transit and destination.
Confirm each station
Track movement acceptance, parking, handling, fuel, catering and crew arrangements separately. State fuel grade, estimated quantity and unit; review quote validity, included charges, payment conditions and the release process. A quotation is not a completed uplift.
Maintain handover and contingency
Give the operator current references, terminal instructions and escalation contacts. Explicitly amend changes to aircraft, route or timing and request acknowledgement. Review a diversion or overnight plan without assuming facilities will be immediately available.
